Privacy policy

Last updated: October 27, 2026

ROOTCAP INC ("ROOTCAP," "we," "us," or "our") operates root-cap.com and provides blank headwear wholesale and customization services. This Privacy Policy explains how we collect, use, and disclose personal information when you browse our website, apply for a wholesale account, place an order, request customization, or contact us (collectively, the "Services").

Personal information means information that identifies, relates to, or can reasonably be linked to an individual, including a business contact. This policy governs our handling of personal information if it conflicts with other terms governing the Services.

1. Information We Collect

The information we collect depends on how you interact with us and may include:

  • Contact and business details: your name, company name, job or business role, email address, telephone number, business address, website, and social profile.
  • Account and transaction details: account identifiers, preferences, wholesale account status, billing and shipping details, products viewed or added to your cart, order history, payment status, and returns or service requests. Payment providers process the payment information you submit at checkout.
  • Wholesale application documents: resale certificates, seller's permits, and relevant business or tax information, including identifiers and signatures appearing in the documents you provide.
  • Customization and communications: artwork, logos, specifications, quotations, messages, and information about the people coordinating your order. Artwork and business records fall within this policy to the extent they contain personal information.
  • Device and usage information: IP address, browser and device information, cookie and other online identifiers, pages viewed, interactions with our store, and related usage information. Preferences or interests may be inferred from this activity.

We collect information directly from you, from your authorized business representatives, automatically through our website and related technologies, and from providers that support payments, shipping, security, and store operations. Shopify may also provide information through the services described below. Please provide only the information necessary for your request. Do not email passwords, login codes, or full payment card details.

2. How We Use Information

We use personal information to:

  • Review wholesale eligibility, manage accounts, and apply relevant account pricing.
  • Prepare quotations, process payments and orders, arrange shipping, coordinate customization, and handle after-sales matters.
  • Respond to questions and send necessary account, application, security, and order communications.
  • Operate, personalize, analyze, and improve our store and Services.
  • Support marketing and advertising, subject to the choices described in this policy and consent where required.
  • Prevent fraud, protect our Services, maintain accounting and tax records, resolve disputes, enforce agreements, and comply with legal obligations.

3. Wholesale Applications and Customization Files

We use wholesale qualification documents to review business eligibility, maintain relevant tax records, and meet legal requirements. These documents are intended for personnel and service providers who need them for those purposes. Submitting a wholesale application does not by itself subscribe you to marketing. Please do not include unrelated personal documents.

We use customization files to evaluate, quote, sample, and produce the products you request. Relevant files and production details may be provided to manufacturing or decoration partners as needed for that work. This Privacy Policy does not grant us permission to publish your artwork or brand as a promotional example; that use requires separate authorization.

4. How We Disclose Information

We disclose personal information as needed for the purposes described above, including to:

  • Shopify and operational providers supporting our ecommerce platform, payments, business email, store applications, IT services, analytics, storage, customer service, warehousing, and delivery.
  • Manufacturing and customization partners receiving the files and information needed to evaluate or fulfill your requested work.
  • Marketing and advertising partners, including through Shopify, for personalization and advertising as explained in Sections 5 and 6.
  • Professional advisers, authorities, or other parties where needed to meet legal obligations, respond to valid legal process, protect rights and safety, or address fraud and disputes.
  • Parties involved in a business transaction, such as a merger, acquisition, or restructuring, subject to applicable legal requirements.
  • Other recipients at your direction or with your consent.

The information disclosed depends on the recipient's role. For example, delivery providers receive information needed to deliver an order, while customization partners receive information needed for the requested production work.

5. Shopify and Payment Services

Our store is powered by Shopify. Shopify collects and processes information about your access to and use of the Services to operate and improve its platform, including store, account, checkout, payment, security, and related features. Payment information is processed by Shopify and/or the payment provider used for your transaction under their applicable privacy notices.

We have enabled Shopify Network Intelligence. This allows Shopify to combine information about interactions with our store with information from interactions with Shopify and other merchants to improve services, personalize experiences, and support advertising. In these circumstances, Shopify is responsible for its processing, including handling rights requests relating to those purposes.

For details about Shopify's practices and your choices, see the Shopify Consumer Privacy Policy and Shopify Privacy Portal.

6. Cookies, Advertising, and Privacy Choices

Our website and providers use cookies and similar technologies for functions such as accounts, shopping carts, preferences, security, analytics, and personalization. Information about your device and interactions may also be used through Shopify's enhanced features to support advertising based on activity across merchants and websites.

Disclosures of online identifiers, device and usage information, shopping activity, and associated interests to Shopify and advertising partners may be considered a "sale," "sharing," or processing for "targeted advertising" under certain U.S. state privacy laws, even when no money is exchanged for the information.

Depending on your location, you may have the right to opt out of these activities. Visit Your Privacy Choices — Do Not Sell or Share My Personal Information and follow the available instructions. If a control is not displayed for your location or you need assistance, email info@root-cap.com. You can also use the Shopify Privacy Portal for information processed by Shopify for its own purposes.

Where applicable, our Shopify privacy settings recognize the Global Privacy Control (GPC) opt-out preference signal for the browser and device sending it. Where Shopify can associate the signal with a Shopify account, the preference may also be applied to that account. Other browser "Do Not Track" signals are not treated as opt-out requests. Learn more at Global Privacy Control.

Where a cookie banner or preference control is presented, you can use it to manage the available choices. You may also block or delete cookies through your browser settings, although some store functions may not work properly. Preferences may need to be set again when you change browsers or devices or clear cookies. Opting out of targeted advertising does not prevent all advertising or processing necessary to operate the store.

7. Marketing Communications

If you receive marketing emails from us, you can unsubscribe using the link in the message or contact us to update your preferences. We obtain consent where required by law. Necessary communications about wholesale applications, account security, orders, and service matters are separate from marketing preferences and may continue after you unsubscribe.

8. Retention and Security

We retain personal information for as long as reasonably necessary for the purposes described in this policy. The period depends on the type of information and factors such as maintaining an active account, fulfilling orders, supporting repeat customization requests, tax and accounting requirements, resolving disputes, and other legal obligations. Wholesale documents, transaction records, communications, and customization files may therefore have different retention periods. When information is no longer needed, we delete or de-identify it as appropriate and subject to applicable legal requirements.

We use reasonable administrative, technical, and organizational measures to protect personal information. No storage system or transmission method can guarantee complete security. If you believe your account or information has been compromised, contact us promptly.

9. Your Privacy Rights

Depending on where you live and applicable law, you may have the right to:

  • Know about and access the personal information we hold about you, including relevant categories, sources, purposes, and recipients.
  • Receive a copy of your information in a portable format.
  • Correct inaccurate information or request deletion.
  • Opt out of sale, sharing, or targeted advertising, as described in Section 6.
  • Withdraw consent, object to or restrict certain processing, or limit specified uses of sensitive personal information where those rights apply.
  • Appeal a decision on your request or complain to the relevant privacy or data protection authority.

These rights are subject to applicable conditions and exceptions. For example, we may need to retain certain records for tax, accounting, security, or legal reasons. We will not discriminate against you for exercising rights protected by applicable law.

To submit a request, appeal, or privacy complaint, email info@root-cap.com, use our contact form, or contact us using the details below. Please identify your request and the information needed to locate the relevant records. We may reasonably verify your identity or an authorized agent's authority as permitted or required by law. For requests to opt out of sale, sharing, or targeted advertising, we will not require identity verification where prohibited by applicable law. We will not ask for your account password or login code to verify a privacy request. We respond within the period required by applicable law and explain any lawful limitation on our response.

10. International Processing

Personal information may be stored or processed in the United States and other countries where Shopify, our service providers, or relevant business partners operate. Privacy laws in those locations may differ from the laws where you live.

Where applicable law requires safeguards for an international transfer, the transfer must be supported by a legally recognized mechanism. For transfers from the European Economic Area or the United Kingdom, this may include an adequacy decision or approved contractual protections, such as the European Commission's Standard Contractual Clauses and relevant UK provisions. Shopify's privacy notice provides additional information about its international processing and safeguards.

11. Children and External Websites

Our wholesale and customization Services are intended for business customers and are not directed to children. We do not knowingly collect personal information from children under 16 or knowingly sell or share their personal information. If you believe a child has provided information to us, please contact us so we can review the matter and take appropriate action, including deletion where required.

Links to websites or services operated by third parties are governed by those operators' privacy practices. Please review their notices before providing information. A link from our website does not mean that we control or endorse the third party's privacy or security practices.

12. Updates and Contact

We may update this Privacy Policy when our Services, practices, or legal requirements change. We will post the revised policy on this page, update the "Last updated" date, and provide any additional notice required by law.
